Conformity documentation is the least popular job in engineering. Recurring, fiddly, and it visibly earns nothing. So it gets pushed back and, at the end, copied together quickly out of old files. That is exactly where the gaps come from.

Situation

The work nobody wants to do.

Three gaps are well known: the currency gap (the risk assessment describes a machine you no longer build that way), the modification gap (at what point does an adjustment become a substantial modification) and the coverage gap (the standard declaration goes out with a machine that departs from the standard).

And from 20 January 2027 the new Machinery Regulation (EU) 2023/1230 applies. If you build a handful of machines a year, you rework a few documents. If you ship in volume, you have an operational risk.

The Detail

The dimensioning.

On this sheet the evidence is the expert report and the test record. A dimension never stands bare in a drawing — it has an extension line onto the edge it refers to. That is exactly what a source does for a statement.

Common questions

What decision-makers rightly ask.

Does the agent produce our declaration of conformity?

No. It produces a sourced draft of the supporting work — risk assessment, cross-checks, references. The judgement, the declaration and the signature stay with the engineer. On this sheet the line above is not a matter of style, it is liability.

What changes with Machinery Regulation 2023/1230?

From 20 January 2027 it applies in full. If you build a handful of machines a year, you rework a few documents. If you ship in volume, you need a process that carries the transition — and that shows which documents are affected.

What if the agent cannot find a source?

Then it reports that instead of passing over the gap — see item 4 in the drawing. A reported missing source is worth more than documentation that merely looks complete.

What does getting started cost?
